AI Transformation for Professional Services Firms

In a professional services firm, the expensive work is the work between the work: onboarding a client, scoping an engagement, answering the same internal questions, and getting a proposal out while the prospect still cares.

None of it is billable. All of it is done by people whose hours are the product.

Every row above comes from one build in one company, linked at the foot of this page. It is not an average. Your numbers will land somewhere else, which is the reason the assessment comes first.

Onboarding is the clearest target

Contracts, folders, tool access, kickoff scheduling, and the internal briefing. At most firms this takes about three days spread over a week, and delivery cannot start until it finishes.

One professional services firm we worked with turned that checklist into a system. A three-day setup now takes forty minutes, and delivery starts the same week instead of the next. On every engagement that moves a week of revenue forward.

Proposals go stale for a stupid reason

A prospect is hottest in the two days after the call. Most firms take a week, because the proposal needs a partner who is in delivery until Thursday.

Trained on your last three years of proposals and the pricing logic behind them, a system drafts something the partner corrects in fifteen minutes instead of writing it in two hours. The judgment stays with the partner. The typing does not.

Senior time is being spent as a search engine

Every firm has the same forty questions that juniors ask seniors. How do we handle this clause, what did we charge that client, which template applies here.

Those answers already exist, in old matters and in emails nobody can search. Trained on your own material, a system gives them back and the senior stays in delivery.

What to expect from an assessment here

  • Non-billable hours per engagement, counted rather than guessed
  • Time from call to proposal sent, and how many go stale
  • Which recurring internal questions consume the most senior time
  • Where time capture leaks between the work happening and the invoice going out
  • Which parts genuinely require professional judgment and should stay with a person

The last line matters here more than in any other industry. Some of what you do carries professional liability, and that work stays with a human by design.

What this industry asks first

Our work carries professional liability. Is this safe?

The systems we build in these firms draft and prepare. Anything that carries liability is presented for a person to approve, and the escalation rules for what must never be decided automatically are part of the build.

Will this train on confidential client material?

It trains on your data, inside your accounts, under whatever confidentiality constraints your engagements carry. If material cannot leave your infrastructure, that is a design constraint we build to.

How does this affect billable hours?

It removes non-billable hours first. Firms that bill by the hour usually redirect that capacity into delivery rather than cutting people.
